GSE Printing System Changes Effective 5.22.25
Background
Last summer, GSE deployed new Xerox Multi-Function Devices (Printer/Scanner/Copiers) across our facilities with the PaperCut MF printing system configured for use with the PennCard system. This system allows:
- Authentication and printing using PennCard IDs
- Students to print using their initial print fund balance from GSE
- Adding funds using the PennCash system
- Compatibility with "public" printers at Penn Libraries
PaperCut replaces our previous aging system that prevented users on AirPennNet from printing without special (direct IP) printer access.
Benefits of the New System

Improved Security: Direct IP printing was not a secure method and did not grant access to Copy or Scan functions

Greater Accessibility: Print from anywhere, including AirPennNet

Convenience: Print jobs are held for two hours and can be released at any GSE Xerox MFD Printer

Accountability: Better tracking of printing resources

Campus-wide Compatibility: Works with the same system used across Penn campus
How PaperCut Works
- Print jobs can be submitted from anywhere when using the PaperCut software
- Jobs are held for two hours before expiring
- Jobs can be released at any GSE Xerox MFD Printer
- Students can print to the student printer in the 1st floor lobby of 3700 and the shared Solomon B14 printer

Copying: The Copy function will prompt users to choose Black and White or Color copies

Scanning: Scan to email functionality is working properly, but Scan to OneDrive may not work consistently
Eco-Friendly Printing Tips
Please consider these environmentally responsible printing practices:
- Select Black and White output instead of Color when possible
- Utilize Duplex (two-sided) printing when appropriate
- These choices can reduce paper usage by up to 50% and significantly reduce toner usage
- Reducing consumables lowers costs and environmental impact

What happens if I continue to print directly to an IP address?
After May 22, print jobs sent directly to printer IP addresses will not be processed.

How long are my print jobs saved in the system?
Print jobs are held for two hours before being automatically deleted.
